Teams bookable desks or Kadence in Teams?
Microsoft 365 includes room booking in Teams and Outlook, and Microsoft's bookable desks in Teams reserve a desk when someone plugs in to its monitor or dock. If simple booking inside Microsoft 365 is all you need, that can be enough. Workplace teams add Kadence when they also need to plan, measure and run the office. Kadence works inside Teams and Outlook, so people keep the tools they know.
- Team neighborhoods, assigned desks and the Neighborhood Scheduler for shared or rotating floors.
- Automatic check-in over office Wi-Fi with the Kadence Agent, and auto-release of desks and rooms nobody uses.
- Workplace Insights for attendance, occupancy and no-shows, with custom dashboards in Insights Plus.
- Visitor management with kiosk check-in and badge printing.
- Move Manager for new starters, leavers and team moves, and SpaceOps for stack and scenario planning.
- One platform across Teams, Outlook, Slack, Google Calendar and the Kadence iOS and Android apps.
Set up desk booking in Microsoft Teams
IT sets up the Teams app once. A Global Admin in Kadence and an admin for Microsoft Entra ID do it together in three steps.
- Copy your tenant ID from the Microsoft Entra admin center.
- In Kadence, go to Settings, then Integrations, and paste the tenant ID under Microsoft Teams.
- In Microsoft Entra ID, grant admin consent to the Kadence Bot app, so Kadence can send check-in reminders and messages in Teams.
People then add Kadence from Apps in Teams. To give it to everyone at once, a Teams admin adds Kadence to an app setup policy in the Teams admin center. Step-by-step help: Microsoft Teams integration setup guide.
Built for Microsoft 365 organizations
Kadence fits the rest of your Microsoft stack. People sign in with Microsoft Entra ID single sign-on, and SCIM directory sync keeps users and teams current. The Kadence Agent signs in silently on Windows with Entra and checks people in when they join the office network. Room bookings sync both ways with Outlook, and the Kadence Outlook add-in books rooms from inside a meeting invite.

FAQ
Frequently asked questions
What is Microsoft Teams desk booking integration?
A Microsoft Teams desk booking integration is a platform that enables employees to see when their teammates are going into the office, where they’re sitting, and book a space nearby with all the right amenities they need. Companies that already use Microsoft Teams can continue to communicate and fully utilize their hybrid desk booking software in the app their employees are already using.
Does Microsoft Teams help with team productivity?
Yes. Since Microsoft Teams is commonly used as a communication, and collaboration tool, it makes sense for users to integrate a hybrid workplace software inside the tool their teams are already using. Users can find their teammates, book spaces to collaborate in person, check into their spaces, and get prompt notifications if their teammates have canceled their booking for that day.
What can Microsoft Teams integrate with?
If enabled, Microsoft Teams can integrate seamlessly with your hybrid desk booking software. With Kadence, users can get set up within seconds. Simply search for Kadence in the Microsoft Teams App Directory to download, and add it to your taskbar within Microsoft Teams for easy access. From there, you can use Kadence in all the ways you could before all inside one application.
Can desk booking software integrate with other systems?
Kadence desk booking software can integrate with popular systems like Microsoft Teams, Slack, and more. By integrating with the tools your team uses, you can fully leverage the benefits of desk booking in your hybrid workplace.
Can you book desks in Microsoft Teams?
Yes. With the Kadence app for Microsoft Teams, people book desks and meeting rooms, see when teammates are going in, find them on the floor plan and check in, all inside Teams. Bookings follow the same rules, neighborhoods and availability as the Kadence web and mobile apps, so a desk booked in Teams shows everywhere.

Why use Kadence instead of Teams bookable desks?
Microsoft's bookable desks and room booking cover booking inside Microsoft 365. Kadence runs inside Teams too, and adds team neighborhoods, automatic Wi-Fi check-in, auto-release, attendance and occupancy analytics, visitor management, move management and SpaceOps planning. It also works in Slack and Google Calendar, which helps when not every office or team runs on Microsoft.
Can I book a desk by chatting with Kadence AI in Teams?
Yes. Kadence AI works in Teams chat. Ask it to book a desk near a teammate, find a free room for your weekly sync or check you in, and it books within your company's rules. Admins can turn Kadence AI on or off. With it off, the Teams app still handles check-in.
See Kadence AI.
How do I set up desk booking in Microsoft Teams?
A Kadence Global Admin pastes your Microsoft tenant ID into Settings, then Integrations. An Entra admin grants consent to the Kadence Bot app so Kadence can message users. People add Kadence from Apps in Teams, or a Teams admin pins it for everyone with an app setup policy.
Full steps: Teams setup guide.
Is there a room booking system for Microsoft Teams?
Yes. With Kadence, people book meeting rooms from the Kadence app in Teams, by chatting with Kadence AI, or from Outlook with the Kadence add-in. Room bookings sync both ways with your Microsoft 365 room calendars, and rooms nobody checks in to are released for others to book.
