What is auto-release in room and desk booking?

Short answer

Auto-release is a booking rule that automatically cancels a desk, room or other space reservation when nobody checks in within a set grace period after the start time. Workplace teams use it to return unused bookings to the pool, reduce ghost bookings and make availability and occupancy data reflect how space is really used.

Also called room release, booking release, desk release, automatic release.

How it works

Each bookable space has a check-in window. If the person or organizer checks in by app, room display, QR code, badge or network presence, the booking stands. If the window closes with no check-in, the system cancels the booking, updates the calendar and shows the space as free.

Grace periods are set by space type and location. Meeting rooms usually get short windows, because a room held for an absent meeting blocks a whole group. Desks can get longer windows to allow for commutes. Assigned desks can be released on days the owner is away or has cancelled.

Auto-release depends on reliable check-in. If check-in is manual and people forget, rooms get released while in use. Automatic check-in from the network, badges or sensors, and a prompt on the room display, keep false releases rare.

How to measure it

  1. Released bookings as a share of all bookings, by space type and team.
  2. How often released rooms and desks are rebooked the same day.
  3. False releases: complaints from people whose booking was released while they were there.
  4. Repeated no-shows on recurring bookings.

Examples

  • A weekly meeting stops happening but stays in calendars; the room is auto-released each week until the organizer ends the series.
  • An employee's assigned desk is released on the days they are on leave, and a visiting colleague books it.

Common mistakes

  • Turning on auto-release without an easy way to check in, which releases rooms that are in use.
  • Using one grace period for every space type.
  • Letting recurring bookings survive repeated no-shows.
  • Not telling people that auto-release exists, so a released booking feels like a system error.

How Kadence helps

Kadence auto-releases desk, room and other space bookings that are not checked in, with check-in windows set by admins. Kadence Room Displays (WorkOps Pro) enforce check-in at the door and release no-shows, and the Kadence Agent checks people in automatically from the office network so people who are present are not released. No-shows appear in Workplace Insights.

Frequently asked questions

What does room release mean?

Room release means a booked meeting room is cancelled and returned to availability, either by the organizer or automatically when nobody checks in within the grace period. Automatic room release stops rooms from showing as busy when they are empty.

How long should the auto-release grace period be?

Long enough for someone running a little late, and short enough that others can still use the space. Meeting rooms usually get a window of several minutes after the start time, while desks often get longer to cover commutes. Review release and complaint data and adjust by space type.

Does auto-release work without sensors?

Yes. Check-in can come from a room display, the booking app, a QR code, badge data or presence on the office network. Sensors are one more signal, not a requirement.

What is the difference between auto-release and a no-show?

A no-show is a booking where nobody turned up. Auto-release is the rule that frees the space when a no-show is detected. The no-show rate measures the problem; auto-release limits its cost.

  • Ghost booking A desk or room that is booked but never used, so it shows as taken while it sits empty.
  • No-show rate The share of desk and room bookings nobody checks in to, which makes space look busier than it is.
  • Desk check-in Confirming that you are at the desk or room you booked, by app, QR code, badge or Wi-Fi presence, so unused bookings can be released.
  • Meeting room display A screen at a meeting room that shows live availability and lets people book, check in and release the room at the door.
