How the maths works

Every figure is shown so your finance team can check it. Amounts use the currency you pick, with no exchange rates. Enter areas in square feet or square meters (1 m² = 10.7639 sq ft); the model runs in square feet and shows results in the unit you pick. The example is an illustrative 60,000 sq ft office, not a benchmark.

Required space

Headcount × attendance percentage ÷ 100 × sq ft per desk including circulation ÷ people per desk. Base release is current area minus required space, with a minimum of zero. Editing release percentage instead applies that percentage to each building. The linked ratio is total attendance-weighted desk area ÷ retained portfolio area; it is unavailable at zero retained area or zero attendance.

Scenarios

Base uses your inputs. Conservative multiplies released area by 0.7 and one-off costs by 1.25. Upside multiplies released area by 1.2 and one-off costs by 0.9. These editable assumptions cap release at each building’s area.

Floors

Released sq ft ÷ average floor plate. Whole floors round down; the fractional equivalent is also shown. Portfolio whole floors round down the portfolio total, so they can differ from the sum of whole floors by building.

Annual cash saved

For each building: released sq ft × (annual rent ÷ rentable sq ft). Add the buildings together. Rent per sq ft and annual rent are linked. Savings land from the lease event entered, or at the next lease event. Dates do not prorate the three-year model.

Expansion avoided

Growth headcount = current headcount × planned three-year growth percentage ÷ 100. Per building: growth headcount × current sq ft per person × annual rent per sq ft. Add once to the three-year result, exactly as specified; do not multiply by three. Zero growth means zero cost avoided.

One-off costs

(Released sq ft × move and fit-out cost per sq ft + combined implementation and services quote) × scenario one-off factor. A blank quote is excluded and labeled.

Software

Annual Kadence software cost × three. Blank means your quote is pending; the net is labeled excluding software. Enter zero only if the confirmed cost is zero.

Three-year net

Annual cash saved × three + expansion avoided − one-off costs − three-year software cost. No discounting, tax, inflation or lease-date proration. The headline always shows base; the scenario toggle changes the supporting results.

Payback

One-off costs ÷ (annual cash saved ÷ 12). No cash saved means n/a. This is the specified cash payback, excluding ongoing software.

Modeled benefits

Your own annual monetary value per employee × headcount × three, separately for retention and productivity. Both start blank, and neither enters cash savings or net.
