What are editable floor plans?

Short answer

Editable floor plans are floor plans that workplace teams can update themselves, without CAD skills or an architect, typically with a review step before changes go live. Facilities and workplace teams use them to keep booking maps and seat counts accurate after everyday changes, such as moving desks or turning a room into focus space.

Also called self-service floor plan editing, floor plan editor.

How it works

The floor plan is edited in the browser. A workplace admin can add, move or remove desks, split or merge rooms, change a space's type or capacity, and redraw zones and neighborhoods without opening a CAD tool.

Changes are saved as a draft first. The admin reviews the impact, such as which bookings or assignments sit on desks being removed, then activates the change. A version history allows a rollback if something goes wrong.

Major building work still needs an architect. Editable floor plans cover the small, frequent changes in between, which would otherwise wait weeks for a drawing update while the map and the floor disagree.

How to measure it

  1. Track the time between a physical change on the floor and the matching floor plan update.
  2. Check how many bookings or assignments each change affects before activating it.
  3. Compare the map with the floor at regular intervals.

Examples

  • A team adds four desks to its neighborhood; the admin adds them to the plan, reviews the change and activates it the same day.
  • A meeting room becomes two phone booths; the admin splits the room on the plan and updates both spaces.

Common mistakes

  • Letting anyone edit live plans without a review step.
  • Removing desks that have future bookings without moving those bookings first.
  • Editing the digital plan but not telling the architect, so the next official drawing overwrites the change.

How Kadence helps

Kadence Editable Floor Plans let admins edit floor plans in the browser, review the impact and activate changes, with version rollback. They are a WorkOps Pro add-on and are included with SpaceOps. The updated plan is what employees see when they book desks and rooms and search for colleagues.

Frequently asked questions

Why use editable floor plans instead of updating CAD drawings?

Most workplace changes are small and frequent. Waiting for an architect to update a drawing for each one leaves the booking map wrong for weeks. Editable floor plans let the workplace team make those changes directly and keep the map accurate.

Who should be allowed to edit floor plans?

A small group of trained workplace or facilities admins, with a review step before changes go live. Team leads can request changes but usually should not edit live plans themselves.

Do editable floor plans replace architects?

No. Building work, refits and anything structural still need professional drawings from an architect or designer. Editable floor plans handle the everyday layout changes between those projects, such as moving desks, renaming rooms or changing a neighborhood.

  • Interactive floor plan A live, clickable map of an office that shows desks, rooms and people, and lets employees book space and find colleagues.
  • CAD / DWG floor plans Architectural drawing files that provide the accurate geometry behind digital and interactive floor plans.
  • Changes Updates to a workspace, team area or setting that do not relocate the people assigned to it.
  • Space management The ongoing tracking, allocation and improvement of how an organization's buildings, floors, desks and rooms are used.
  • Neighborhood A zone of an office set aside for a team, project or activity, often on set days, so people who work together sit together.
